Booking Terms and Conditions for Trips to Nepal, Tibet, and Bhutan with Vyas Treks and Expedition Pvt. Ltd.

Thank you for selecting Vyas Treks and Expedition Pvt. Ltd., a renowned government-registered travel and trekking company based in Nepal, for your upcoming adventure. Your trust in us is greatly appreciated. Kindly review the following terms and conditions before finalizing your trip booking:

Reservation Process:

a) To secure your spot, we require your full name and a 25% non-refundable booking deposit per person.

b) This deposit is an essential component of every trip booking.

c) The remaining balance can be settled upon your arrival at our office.

Payment Details:

a) Full payment must be completed prior to the trip's departure, including for last-minute bookings.

b) Alternatively, you may opt to pay the total amount a week in advance.

c) Should you have any inquiries or require further clarification, please don't hesitate to reach out. We eagerly anticipate providing you with an unforgettable and enriching journey.

Vyas Treks and Expedition Pvt. Ltd. is dedicated to ensuring the health and safety of our guests. We exclusively operate private groups and small tours with limited numbers to prioritize your well-being. Consequently, we typically avoid visits to enclosed spaces where large gatherings occur, ensuring a secure and enjoyable travel experience.

Clients are responsible for covering any bank service charges incurred during the deposit process. Additionally, we accept credit card payments. Please click the provided link to access the payment form. Kindly note that we only accept MasterCard and Visa Card, and a 4% card processing fee will be applied. Alternatively, you may opt for payment via Western Union Money Transfer or MoneyGram.

Terms and Conditions for Trip Booking:

Risk & Liabilities: Vyas Treks and Expedition Pvt. Ltd. endeavors to provide exceptional services for an unforgettable journey. We commit sincere efforts to ensure your travel experience is smooth and enjoyable. However, please be advised that tours in Nepal, India, Tibet, and Bhutan are subject to respective policies and regulations set by the Tourism Authorities.

We shall not be held responsible for program changes or cancellations due to circumstances beyond our control, such as government restrictions, natural disasters, political unrest, or transportation issues. Any additional costs incurred will be the responsibility of the clients. We strongly advise clients to acquire comprehensive insurance covering medical and personal accidents, including cancellation insurance.

Cancellation Policy: In the event of trip cancellation, the following charges will apply:

A 25% nonrefundable deposit of the trip booking amount.
No refund will be provided for the final payment made before the trip commencement.
Program Change/Delay: We reserve the right to modify the itinerary due to circumstances beyond our control, such as adverse weather conditions or unforeseen events. The program can be tailored based on client preferences. In the event of trip cancellation by Vyas Treks and Expedition Pvt. Ltd., we will offer an alternative of similar standard or retain the payment for your next trip.

Price Adjustment:

We retain the right to adjust pricing rates due to external factors beyond our control, such as fluctuations in exchange rates or government actions. While we strive to maintain fixed prices, domestic flight fares may vary due to fluctuations in fuel prices.

Passport and Visas:

Clients must possess a valid passport with at least six months of validity from the return date. Nepalese visas can be obtained from the Nepalese Consulate in your country or upon arrival at Kathmandu Airport.

Travel Insurance:

We highly recommend comprehensive travel insurance covering medical emergencies, personal accidents, emergency evacuation, trip cancellation, loss of belongings, natural disasters, theft, or baggage and personal effects damage.

Refund Policy:

The 25% deposit amount for the trip is nonrefundable. In the event of trip cancellation by Vyas Treks and Expedition Pvt. Ltd. due to government restrictions, landslides, road blockages, floods, political unrest, or flight cancellations, an alternative trip will be offered. If the client declines the alternative, we reserve the right to decide on the cancellation, with no cash refund provided.

Flight Delays:

Flights via plane or helicopter are susceptible to cancellations and delays due to weather conditions. It is advisable to carry extra funds for meals and accommodations in case of delays. Vyas Treks and Expedition Pvt. Ltd. shall not be held liable for additional expenses or missed connections resulting from flight delays.

Note:

Travel Insurance is strongly recommended. In case of flight cancellation, if you are unable to catch your scheduled flight, you may arrange for a helicopter charter at your expense, which can subsequently be claimed through your insurance provider.
